Xeroccon 2025 Beyond automation: How Dext powers real-world accounting efficiency’

Incase you missed out on the Dext silent disco at Xerocon – let us give you a quick recap of Nicole’s session ‘Beyond automation : How Dext powers real-world accounting efficiency’.
We’ve been using Dext for 10 or so years and so has co-presenter Heather Smith, so we’ve got a bit of experience under our belts.

Our perfect workflow using Dext & Xero:
Here at Streamline Management, we use ReceiptBank as an Electronic InTray – paid, yet to be paid, credit notes, supplier statements and even non expense documents (like employee Dr certificates) all go in.
How do the items go in? By forwarding emails, using the phone app, WhatsApp, e-invoices, chrome extension, or drag and drop into the browser.
Staff expenses can be moved to an expense claim – no more printed spreadsheets with dockets stapled on, and staff can use the same system the already know for mileage claims (more on that later)
Automation – detecting duplicate submissions, checking for AI created documents (we might call that fraud), supplier rules for consistency, split rules for bills (service vs subscriptions on IT bills for example), ABN lookup, looking for payment methods and checking Xero to see if you’ve already paid it.
Approvals to stop expense claims and big bills being published without any oversight.

We also touched on some of the new efficiency tools – Mileage – GPS tracking now available in the app for easy submission.
For business owners – you can track all your trips and generate a report for your personal tax return – using the system you already know.
Supplier statements make it easy to reconcile all bills are processed and if not, request copies from inside Dext.
Approvals – just for expense claims and/or for bills above $75 or 2 to approve when above $1000, for example. When the final approver is done, it auto publishes into Xero.

Ultimately, Dext is an all-in-one solution for handling all kinds of documents from any source.
